About the Role
We are looking for a detail-oriented Administrative Assistant (Publishing Operations) to support day-to-day documentation, coordination, and communication tasks across our journal portfolio. You will help keep editorial workflows organized and on time—supporting document formatting, reporting, meeting/webinar materials, and routine follow-ups from manuscript intake to publication support.

We are looking for a detail-oriented Administrative Assistant (Publishing Operations) to support day-to-day documentation, coordination, and communication tasks across our journal portfolio. You will help keep editorial workflows organized and on time—supporting document formatting, reporting, meeting/webinar materials, and routine follow-ups from manuscript intake to publication support.
Key Responsibilities
- Documentation & formatting: Prepare, format, and proofread MS Word documents (manuscripts, letters, templates, reports) with strong attention to style consistency and accuracy.
- Presentation support: Create and refine PowerPoint decks for meetings, webinars, editorial board sessions, and internal reporting.
- Workflow coordination: Help track manuscript progress, maintain logs/spreadsheets, and support routine publishing follow-ups across teams.
- Records management: Maintain organized digital records (manuscripts, reports, correspondence, presentations) with version control and confidentiality.
- Reporting support: Assist in compiling basic operational data for journal reports, timelines, and workflow updates (Excel-based).
- Scheduling & meetings: Coordinate meeting schedules, circulate agendas/materials, and support minutes/action trackers when required.
- General admin support: Day-to-day coordination tasks supporting publishing operations and internal workflows.
- Bachelor’s degree / diploma
- MS Word + PowerPoint proficiency
- Basic Excel
- Strong English written communication and professional email etiquette.
- Excellent attention to detail, organization, and deadline discipline.
- Willingness to learn academic publishing workflows and systems.
- Experience in academic publishing, editorial office, admin support, or documentation-heavy roles.
- Familiarity with submission/peer-review systems (e.g., OJS, Editorial Manager, ScholarOne) — training can be provided.
